4. How we share your information
We do not sell personal information. We share it only in the following limited circumstances:
- Service providers: third parties who help us operate our business — for example, our class-registration platform, payment processor, email/marketing platform, website host, and accounting/bookkeeping providers. These providers are bound by contract to handle information only on our instructions and to protect it appropriately.
- Gymnastics governing bodies: where required, with Gymnastics Ontario or other sanctioning bodies for competitive registration, insurance, or sanctioning purposes.
- Legal and safety reasons: when required to comply with law, respond to lawful requests by public authorities, enforce our terms, or protect the safety of our staff or participants.
- Business transitions: if Thrive is involved in a sale, merger, or other business transition, personal information may be transferred as part of that transaction — subject to the same protections in this policy.
Some of our service providers (e.g., website hosting, email/analytics) may store or process information outside Canada, including in the United States. Where this occurs, your information may be subject to the laws of those jurisdictions, including lawful access by foreign authorities.
5. Children’s privacy
Many of our participants are children, and most personal information about a child is provided by a parent or legal guardian. We collect and use children’s information solely to deliver our programs and to keep children safe.
- We do not knowingly collect personal information directly from children under 13 without parental consent.
- Parents or guardians may review, update, or request deletion of their child’s personal information at any time by contacting our privacy contact above.
- Photos or video of a child are used in marketing only where a parent/guardian has signed a photo-release form. You can revoke this consent at any time, going forward, by contacting us.
6. How long we keep your information
We retain personal information only as long as is necessary to fulfill the purposes for which it was collected and to meet legal, accounting, or insurance obligations. Typical retention periods:
- Active participant records: for the duration of enrollment and a reasonable period after for re-enrollment and reference.
- Financial records: for the period required by Canadian tax and accounting rules (generally 7 years).
- Waivers, photo releases, and incident records: for a longer period as required by insurance and limitations periods.
- Marketing contacts: until you unsubscribe or otherwise withdraw consent.
- Website analytics: in line with our analytics provider’s standard retention settings.
When personal information is no longer needed, it is securely destroyed, deleted, or anonymized.
7. Cookies and tracking
Our website uses cookies and similar technologies, including:
- Essential cookies: required for the site to function (e.g., session cookies, security).
- Analytics cookies: to understand how visitors use the site (e.g., Google Analytics).
- Marketing cookies: if and when we run digital advertising campaigns.
You can control cookies through your browser settings — most browsers let you block or delete cookies. Note that some parts of the site may not work properly if essential cookies are disabled.
8. How we protect your information
We use reasonable administrative, physical, and technical safeguards designed to protect personal information against loss, theft, and unauthorized access, use, or disclosure. These include access controls, secure passwords, encrypted payment processing, and limiting access to staff who need it to do their jobs.
No method of transmission over the Internet is 100% secure. While we take security seriously, we cannot guarantee absolute security.
